Volunteer shifts sign-up sheet

Shifts across a day or a weekend, claimed by name.

A volunteer sign-up sheet with three-hour shifts across a Saturday and Sunday, and a count of people needed on each. Volunteers pick what fits, full shifts stay visible so everyone can see what's covered, and you can message everyone at once.

Start oneIt opens with the shifts already laid out, dated from the next one. Check the dates, and change anything before you share it.

How to set it up

  1. Lay out the shiftsIt starts with three three-hour shifts on Saturday and Sunday, three people each. Change the days, the times and the counts to what you need.
  2. Say what volunteers doPut the jobs, where to go, and what to wear or bring in the description.
  3. Send the linkShare it by email, in a group chat, or on a poster with the QR code. Nobody needs an account.
  4. Keep everyone postedYour private link shows every shift and how full it is, and “Tell people something” emails every volunteer who left an address.

What helps

  • Three hours is about as long as most people will offer. Shorter shifts fill faster.
  • Put the first and last shifts down for set-up and pack-up, and give them an extra person.
  • If you need people with a particular skill, like first aid, ask them to say so in their note.
  • For something that repeats every week, a list of people with a free account shows a running tally of who has done what, so it isn't always the same few.

Something to send with the link

Copy it into a text, an email or the group chat, change what you like, and paste your link at the end.

We need volunteers, and we'd love your help.

Pick a shift that suits you on the sheet below. Each one shows how many people it needs. You don't need an account, and your shift goes in your calendar if you leave your email.

Questions people ask

Do volunteers need an account?
No. They open the link, pick their shifts, type their name and press “Sign me up”. An email is optional, and brings a calendar file and a link to change their sign-up.
Can two people take the last place at once?
No. Only one of them gets it, however close together they press the button, and the other is asked to pick something else. A shift never ends up with more people than it needs.
Can I message all the volunteers?
Yes. “Tell people something” on your private link emails everyone who signed up and left an address. Replies come to you.
Can I download the list?
Yes. “Download a spreadsheet” gives you everyone, their shifts, notes and email addresses, and “Calendar file” puts every shift in your own calendar.
