How to set it up
- Check the weeksIt starts with thirteen weeks from next Monday, a quarter. Change the count, or add a second person per week for a backup.
- Say how handover worksPut when a week starts and ends, and how to hand over, in the description.
- Send the linkShare it in the team chat. Nobody needs an account.
- Spot the gapsYour private link shows any week still open. Weeks without a name are the ones to raise at standup.
What helps
- Agree how many weeks each person takes before you share it, and put it in the description.
- Add a second place to each week for a backup, so nobody is alone on call.
- Keep this as the schedule people can see, and put the paging tool's own rotation in after.
- Next quarter, start a new sheet from this template so the weeks are dated.
Something to send with the link
Copy it into a text, an email or the group chat, change what you like, and paste your link at the end.
Questions people ask
- Can two people share a week?
- Yes. Change how many each row takes to 2 before you make it, for a primary and a backup.
- How does someone swap a week?
- They change their own week from the link in their confirmation email, as long as the week they want is free. Anyone else can then take the one they left.
- Is there a calendar file?
- A week has no time on it, so no. If you'd like calendar files, use the shifts layout with each week's start and end.
