Training sessions sign-up sheet

Places on each session, picked by the people attending.

A training session sign-up sheet with three dated sessions and a cap on each one, so the training room is never overbooked. When one fills, people pick another without being told to, and everyone gets their session in their calendar.

How to set it up

  1. Set the sessionsIt starts with three two-hour sessions, twelve places each. Change the days, the times and the places to the room and the trainer.
  2. Say what it coversPut what the training covers and anything to bring, like a laptop, in the description.
  3. Send the linkShare it with everyone who needs the training. “One sign-up each” is on, so each person takes one place.
  4. Chase the stragglersYour private link lists who's booked. Compare it with your list to see who still needs a session.

What helps

  • Offer sessions at different times of day, so people on different schedules can make one.
  • A morning and an afternoon session in the same week fills faster than two mornings.
  • Set a closing date a day before the first session, so you can send the trainer the list.
  • Training that has to be completed by a date? Put the date in the description.

Something to send with the link

Copy it into a text, an email or the group chat, change what you like, and paste your link at the end.

Questions people ask

What happens when a session is full?
It's marked full and nobody else can take a place. People pick another session instead.
Can someone move to another session?
Yes, from the link in their confirmation email. They get the new place before the old one is let go, so they're never left without one.
Can I send the trainer the list?
Yes. “Download a spreadsheet” on your private link gives you everyone and their session.
