How to set it up
- Set the date and placePick the day, check the times, and put the venue in “Where”. A map link adds a “View map” button.
- Decide on guestsEach answer can bring up to four more, for parents and siblings. If the room has a limit, set “Total room for”.
- Send the linkShare it in the team chat. Nobody needs an account to answer.
- Plan the foodThe answers to your question are in the spreadsheet on your private link, so you can see who's bringing what.
What helps
- Set “Stop taking responses after” for the day you need numbers for the venue or the food order.
- Ask families to answer under a parent's name, with siblings counted as guests.
- If you're giving out awards or certificates, say so in the description, so nobody misses that part.
- Families who say yes or maybe and leave an email get a reminder the day before, without you sending anything.
Something to send with the link
Copy it into a text, an email or the group chat, change what you like, and paste your link at the end.
Questions people ask
- Do siblings count toward the total?
- Yes. Guests are counted in the head count, and in “Total room for” if you set one. Maybes aren't counted against the room.
- Can I see who's bringing food?
- Yes. The answers to “Could you bring something to share?” are in the spreadsheet you can download from your private link. They aren't shown on the page.
- Will families get a reminder?
- Yes, about a day before, to everyone who said yes or maybe and left an email. You can switch it off with “Don't send a reminder the day before”.
