Coaches' meeting scheduling poll
A time the coaching staff can all make.
A scheduling poll for a coaches' meeting: five or six people with a lot of evening commitments each mark the times they're free over the next week. The hour they can all make stands out, and you lock it in for everyone at once.

- Pick the eveningsIt starts with the next seven days, 6:00 to 9:00 pm in half-hours. Add a lunchtime or a weekend morning if that suits your coaches better.
- Send it to the coachesNobody needs an account. Each coach marks their times and saves.
- Find the overlap“Only times everyone can make” greys out the rest. If nothing's left, the best times name who'd miss each one.
- Lock it inPick one on your private link. Everyone who left an email gets the time and a calendar file.
What helps
- A small group answers quickly. Set a closing date two days out, and most will have answered by then.
- If one coach can't make any time, “Without” works the best times out again as if they weren't coming.
- Put the agenda in the description, so coaches know how long to set aside.
- For a meeting every month, make it again from this template each time. It takes a minute.

Questions people ask
- Can I offer daytime as well as evenings?
- Yes. Change the earliest and latest times under “Change the hours, or how long each one is” before you make it.
- What if one coach can't make anything?
- Pick “Without” and their name above the best times, and it works them out again without that person.
- Do coaches need an account?
- No. They mark their times, type a name, and press “Save my times”. An email is optional and brings a link to change their answer.
