Picture day helpers sign-up sheet

Half-hour shifts keeping the line moving.

A picture day volunteer sign-up sheet with half-hour times across the morning, and room for two helpers in each one. Somebody lines the classes up, somebody fixes collars and smooths hair, and short times mean more people can say yes to one.

How to set it up

  1. Pick the day and the hoursThe times run through the morning in half-hours, two helpers each. Change the day and the hours to match the photographer's schedule.
  2. Say wherePut the gym, the library or wherever photos are taken in “Where”. It shows on the sheet and goes into each helper's calendar file.
  3. Send the linkShare it a week or two before. Nobody needs an account, and each helper who leaves an email gets their time in their calendar.
  4. Cover the startThe first half-hour is the busiest while everything gets set up. Check it's full from your private link, and raise its count if you can.

What helps

  • A comb, a lint roller and a few hair ties make a helper twice as useful. Say so in the description.
  • Ask the photographer for the class order, and put it in the description so helpers know which classes they'll see.
  • If retakes happen on a different day, make a second sheet for them rather than adding rows to this one.
  • Times are fixed once the sheet exists, so check the hours with the school before you share it.

Something to send with the link

Copy it into a text, an email or the group chat, change what you like, and paste your link at the end.

Questions people ask

Can a helper stay for more than one half-hour?
Yes. They can pick several times in one go, unless you turn on “One sign-up each”.
What if the photographer's times change?
The time on each row is fixed once the sheet exists. If the schedule moves, make a new sheet, and use “Tell people something” on this one to send everyone the new link.
Will helpers get a reminder?
Everyone who leaves an email gets a confirmation with a calendar file. Sheets don't send reminders by themselves; you can message everyone who signed up from your private link.
