How to set it up

  1. Set the roundsIt starts with three hour-long rounds, three judges each. Change the day, the hours, and how many judges each round needs to cover the projects.
  2. Say wherePut the gym or hall in “Where”, so it's on every judge's calendar file.
  3. Invite judgesSend the link to parents, alumni, local businesses and anyone with a science background. Nobody needs an account; everyone is asked for an email so you can reach them.
  4. Send the detailsOnce the rounds fill, use “Tell people something” on your private link to send judges the scoring sheet and where to check in.

What helps

  • Plan on each judge seeing six to eight projects an hour. Divide the number of projects by that to know how many judges a round needs.
  • Ask judges to say in their note if they work in a field like engineering or health, so you can match them to projects.
  • Recruit a couple more judges than you need. Someone usually cancels the week of the fair.
  • A short briefing at the start of each round keeps scores consistent. Say in the description to arrive ten minutes early.

Something to send with the link

Copy it into a text, an email or the group chat, change what you like, and paste your link at the end.

Questions people ask

Why does it ask judges for an email address?
So you can send them the scoring sheet and the details. This template turns on “Ask everyone for an email address”. Only you and anybody helping you run the page see the addresses.
Can a judge stay for more than one round?
Yes. They can pick several hours at once, unless you turn on “One sign-up each”.
Can I see who's judging when?
Your private link lists every judge and their round, with their note, and “Download a spreadsheet” gives you the whole list.
