Book fair volunteers sign-up sheet
Two-hour shifts across the book fair week.
A book fair volunteer sign-up sheet with a shift for each part of the school day, Monday to Friday, and a count on each. People see what's still open and pick a time that suits them, and the table stays covered all week.

How to set it up
- Match the shifts to the fairIt starts with three two-hour shifts a day, Monday to Friday: before school, over lunch, and after school. Change the times to the hours the fair is open, and take off any you don't need.
- Say what volunteers doPut the jobs and where the fair is in the description. If volunteers will take payments, say so, and which kinds you accept.
- Send the linkShare it with families a week or two before the fair. Nobody needs an account, and everyone who leaves an email gets their shift in their calendar.
- Cover the busy timesClass visits and the after-school rush are when you need the most hands. Raise the count on those shifts, and check the gaps from your private link.
What helps
- Ask the teacher-librarian or the fair's organizer for the class visit times, and put an extra volunteer on those shifts.
- Two-hour shifts are easier to fill than half days, and someone who enjoys theirs will often take a second.
- The last shift on the last day usually packs up the fair. Say so in the description, or add a row for it, so it isn't left to whoever's there.
- If the fair runs an evening for families, add a row for it from your private link once the sheet is made.
Something to send with the link
Copy it into a text, an email or the group chat, change what you like, and paste your link at the end.
Questions people ask
- Can I change the shift times after I share it?
- The time on each shift is fixed once the sheet exists, because people have signed up for it. You can add rows, rename them, change how many people they need, or take them off from your private link.
- Can one person take several shifts?
- Yes, as many as they like in one go. Turn on “One sign-up each” if you'd rather spread them around.
- How do I see who's coming on a given day?
- Your private link lists everyone with the shifts they took, and you can sort or search it. “Download a spreadsheet” gives you the lot, and “Calendar file” puts every shift in your own calendar.
