Snack schedule sign-up sheet
A sign-up sheet for who brings snacks, week by week.
A class snack schedule that parents fill in themselves: one row for each week, and each family picks the week that suits them. Nobody has to keep a spreadsheet up to date, and you can see at a glance which weeks still need someone.
Start oneIt opens with a row for each week already in place, dated from next week. Change any of them before you share it.
What's filled in for you
- Title
- Snack schedule
- Layout
- Things to bring or do
- Rows
- “Week of” and the date of each Monday, for 10 weeks from next Monday, with room for one person each.
- Sign-ups
- One each, so nobody can take several.
- Description
- Pick a week to bring snack for the class. Please send enough for everyone, and check with the teacher about any foods the class has to avoid. If your week stops working, use the link in your confirmation email to change it.
- For
- School or class
You add your name and the rows. The dates start from the next one after the day you make it, so check they're right. Anything here can be changed before you share it.

- Week of Monday 16 November · taken by Alex
How to set it up
- Check the weeksIt starts with a row for each week from next Monday. Take off any week the school is closed, and add or rename rows if snack is on a particular day.
- Say what worksPut how many children are in the class in the description, and anything the school doesn't allow, like nuts or homemade food.
- Send the linkPut it in the class newsletter or the parents' group chat. Families don't need an account, and “One sign-up each” is on, so the weeks spread around.
- Fill the gapsYour private link shows which weeks are still open. A week or two before a gap, share the link again and say which weeks are left.
What helps
- Many schools don't allow nuts or homemade food in class. Check first, and say so in the description so nobody has to guess.
- Take off the weeks the school is closed, like a break or a long weekend, before you share it. You can still do it afterwards from your private link.
- Turn off “One sign-up each” if there are more weeks than families, so some can take two.
- Parents who leave an email get a copy of their week. A week has no time on it, so there's no calendar file; a mention in the class newsletter the week before helps.
- Next term, “Make a copy” starts a new sheet with the same rows and nobody on it. Rename the rows to the new weeks, or start a fresh one from this template.
Something to send with the link
Copy it into a text, an email or the group chat, change what you like, and paste your link at the end.
Questions people ask
- Can two families share a week?
- Yes. Change how many each row takes to 2 on the form, and both names go against it. It's useful for a big class, or when snack is twice a week.
- What if a family needs to change their week?
- They open the link in their confirmation email, or the sheet on the same phone, and pick another week. The old one opens up for somebody else.
- Can families see who's bringing snack each week?
- Yes, the names are on the sheet, so everyone can see the whole term. Turn on “Hide other people's names” if you'd rather they only saw which weeks are taken.
- Is it all right to use for a school class?
- Yes. Pages for a school ask whoever makes them to enter adults' names only, ask parents to keep medical and personal details out of their notes, and load nothing from anybody else's site.
