Classroom volunteers sign-up sheet

Times parents come in to help, week by week.

A classroom volunteer sign-up sheet for reading help, cutting and laminating, or tidying the book corner, with each shift's day and time. Parents take what fits around work, and nobody has to text you to ask what's still going.

Description
Pick a time you can come in and help. Each one says how many helpers it needs, and once it's full it's covered. Leave your email and you'll get the time in your calendar, with a link to cancel if something comes up, so someone else can take your place.

You add your name. The dates start from the next one after the day you make it, so check they're right. Anything here can be changed before you share it.

How to set it up

  1. Set the days and timesIt starts with Tuesday and Thursday mornings for four weeks, two helpers each. Change the days, the times or how many you need, and add rows for more weeks.
  2. Say what the job isPut what helpers will be doing in the description, and anything they should know, like where to go when they arrive.
  3. Send the linkShare it in the class newsletter or the parents' group chat. Nobody needs an account, and anyone who leaves an email gets the time in their calendar.
  4. Keep an eye on the gapsYour private link shows each shift and how full it is. If you left your email, you also get a note at 6 pm on any day somebody signs up or cancels.

What helps

  • Shorter shifts fill faster. An hour or an hour and a half fits around a drop-off or a lunch break, where a whole morning puts a lot of people off.
  • Check what your school asks of classroom volunteers, like a background check, and say so in the description before anybody signs up.
  • If some times matter more than others, move them to the top. Rows can be moved up or down from your private link.
  • If the same parents help all year, a list of people keeps track of who has done what. It needs a free account.

Something to send with the link

Copy it into a text, an email or the group chat, change what you like, and paste your link at the end.

We'd love some help in the classroom this term, whether it's once a month or every week.

The sheet below has the times we need people. Pick any that suit you. You don't need an account, and if you leave your email you'll get the time in your calendar.

Here's the sheet:

Questions people ask

Can a parent sign up for more than one time?
Yes. They can pick several at once, unless you turn on “One sign-up each” under “Change how people sign up”.
Do helpers get a reminder?
Everyone who leaves an email gets a confirmation with a calendar file for each time they picked, which puts it on their phone. Sheets don't send reminders by themselves, but you can message everyone who signed up from your private link, and a paid plan lets you schedule reminders.
Can I add more weeks after I've shared it?
You can add rows from your private link, but a row added there has no time on it, so it goes at the end of the sheet on its own. For another month of dated shifts, start a new sheet from this template.
What do other parents see?
The shifts, how many places are left on each, and who has signed up, unless you turn on “Hide other people's names”. Notes are only shown to you.
