Fundraiser RSVP

A head count, with guests and a cap.

A fundraiser RSVP with a guest count and a cap on the size of the room, so it stops taking yeses the moment you're full. That saves the conversation you'd otherwise have at the door, and you know how many to cater for.

How to set it up

  1. Set the eveningPick the date, check the times, and put the venue in “Where” with a map link.
  2. Set the roomEach answer can bring one guest. Set “Total room for” to the venue's capacity, and “Yes” closes when you're full.
  3. Hide the namesTurn on “Hide who's coming”, so guests see the count but not who said no.
  4. Send the linkEmail it to your list, or print the QR code on the invitation. Nobody needs an account.

What helps

  • Put what the money is for in the description. People give more to something specific.
  • If you sell tickets elsewhere, put the address in the description as plain text, and use this for the head count.
  • Set “Stop taking responses after” for the day the caterer needs numbers.
  • Under “Tell people something”, you can paste the addresses of people who haven't answered, and each gets one email asking.

Questions people ask

What happens when the room is full?
Once the head count reaches “Total room for”, “Yes” closes for anyone who hasn't already said yes. They can still answer maybe or no.
Can I take payments here?
No. This is the head count. If you sell tickets or take donations elsewhere, put the address in the description.
Can I hide who's coming?
Yes. Turn on “Hide who's coming”, and people see the counts only. You still see everyone.
