Tournament volunteers sign-up sheet
Volunteer shifts across a tournament weekend.
A tournament volunteer sign-up sheet with two-hour shifts across Saturday and Sunday, so a weekend of jobs fits on one link. Parents take a shift that fits around their own player's games, and you can see the gaps at a glance.

- Description
- Pick a shift or two to help at the tournament: the gate, the scorer's table, or the snack bar. Each shift says how many people it needs, and once it's full, it's covered. Leave your email and you'll get your shifts in your calendar.

How to set it up
- Lay out the weekendIt starts with four two-hour shifts on Saturday and four on Sunday, three people each. Change the times to the tournament's hours and the counts to the jobs you need.
- Name the jobsPut what each shift covers in the description: the gate, the scorer's table, the snack bar, setting up and packing away.
- Send the linkShare it with every family on the team, or every team in the club. Nobody needs an account.
- Plug the gapsYour private link shows every shift and how full it is, and you get a note at 6 pm on days something changes, if you left your email.
What helps
- Ask each family for one shift. Two hours is easy to give, and it fits between games.
- The first shift on Saturday sets up and the last on Sunday packs away. Give both an extra person.
- If a family has a player in two games back to back, they'll want a shift on the other day. Both days on one sheet makes that easy.
- “Tell people something” emails every volunteer at once, which helps when the schedule moves on the day.
Something to send with the link
Copy it into a text, an email or the group chat, change what you like, and paste your link at the end.
Questions people ask
- Can I ask every family for one shift?
- Turn on “One sign-up each” before you share it, and each person can take one shift only. Leave it off and people can take as many as they like.
- Can different jobs have their own shifts?
- Each row is a time, so for separate jobs at the same time, add a row per job, or make a sheet for each job and share both links.
- How do I see who's on at a given time?
- Your private link lists everyone and their shifts, and you can sort it by shift. “Download a spreadsheet” gives you all of it to print.
